How does our document scanning service work?
Want to know more about how our document scanning services work? The guide below goes over a a step-by-step process.
Collection of paperwork
All collections are made using our own transport and team and returned to our secure storage facility.
Preparation
All files are checked against any listings provided to confirm all present and correct. We then go through the process of getting the files ready for scanning by removing any bindings and staples, tidying the documents, and putting a header sheet on each file ready for scanning and indexing.
Scanning
Once prepared the documents are manually fed through our market leading scanners with image enhancing software and document feed sensors which allow us to make sure all pages are scanned and ensure only one page goes through at a time and any information on both sides is captured.
Delivery of electronic documents
With the preparation, scanning and QA process complete we then index each file/document by the specified criteria including OCR to allow the ability of word searching if required and either uploaded via a secure portal direct to the client or via a password protected USB/DATA Drive.
Document scanning benefits
Remote working
With the current way of working from home more prevalent, scanning documents and making them available on the client’s own network allows employees to access files from anywhere, making working from home as easy as being in the office.
Save money and resources
Instant access to electronic files allows companies and staff to be more efficient in the way they work allowing them to access any documents with a click of a mouse instead of trawling through huge amounts of paperwork.
Compliance
With all the DATA compliance including GDPR being a mainstay in all businesses, scanning documents and ensuring they are securely kept on servers as apposed to being paper based ensures that you comply with these requirements.

Freeing up valuable office space by scanning your documentation gives you the flexibility not only to make your data secure but to use this for possible revenue growth or the reduction in costly rental of additional non-productive floor space.
